Information We Collect
The type of information we gather depends on how you interact with us. Here's what we typically collect and why:
Contact Details
Your name, email address, phone number, and company information when you reach out for our services.
Event Requirements
Information about your venue needs, event type, date preferences, and budget considerations.
Communication Records
Copies of our correspondence, meeting notes, and any documentation you share with us.
Website Usage Data
Basic analytics about how visitors use our website, including pages viewed and time spent.
How We Collect This Information
Most information comes directly from you when you fill out forms, send us emails, or talk with us on the phone. We also collect some data automatically through standard website analytics tools, though we keep this minimal.
How We Use Your Information
We use your information for straightforward purposes related to our business relationship:
- Understanding your venue requirements and preferences
- Communicating with you about potential venues and arranging viewings
- Managing bookings and coordinating with venue owners on your behalf
- Keeping records of our business interactions for reference
- Sending you follow-up information about venues that match your criteria
- Improving our service based on feedback and common requests
We won't use your information for unrelated marketing or sell it to third parties. That's not our business model.
Legal Basis for Processing (Thailand Context)
Under Thailand's Personal Data Protection Act (PDPA), we process your data based on:
- Contractual necessity: We need your information to provide the venue selection services you're requesting from us.
- Legitimate interests: We maintain records for business purposes and to improve our services, which benefits both parties.
- Consent: For certain communications like newsletters or promotional updates about new venues, we'll ask for your explicit permission first.
Who We Share Information With
We share your information only when necessary to provide our services:
Venue Owners and Managers
When we present your requirements to potential venues, we share relevant details like your event type, expected attendance, and preferred dates. We don't share more than needed for them to assess suitability and provide quotes.
Service Providers
We work with a few trusted service providers for things like email hosting and document management. These companies are contractually obligated to protect your information and can only use it for the specific services they provide to us.
Legal Requirements
If required by Thai law or court order, we may need to disclose information to authorities. We'd do this only when legally obligated and would inform you unless prohibited from doing so.
We do not: Sell your data to marketers, share it with unrelated third parties, or use it for purposes beyond our venue selection services without your explicit permission.
Your Rights Over Your Information
Under Thailand's PDPA, you have several rights regarding your personal data. Here's what you can do and how to do it:
Your Data Rights
- Access: Request a copy of the personal information we hold about you
- Correction: Ask us to fix any inaccurate or incomplete information
- Deletion: Request that we delete your data when we no longer need it
- Objection: Object to how we're processing your data in certain situations
- Restriction: Ask us to temporarily limit how we use your information
- Portability: Receive your data in a structured format to transfer elsewhere
- Withdraw consent: Remove permission you previously gave us
How to Exercise These Rights
Send an email to help@hyperiqascendx.com with your request. We'll respond within 30 days as required by Thai law. For security purposes, we may need to verify your identity before processing certain requests.
Some limitations apply – for example, we might need to retain certain records for legal compliance even if you request deletion. We'll explain any limitations that apply to your specific situation.
How We Protect Your Information
We take reasonable precautions to protect your data from unauthorized access, loss, or misuse:
- Email communications are transmitted over secure connections
- Access to client information is limited to staff who need it for their work
- We use password protection and secure storage for digital files
- Physical documents are kept in secure locations at our office
- Regular backups ensure we don't lose your information due to technical issues
That said, no system is perfectly secure. We do our best, but can't guarantee absolute security. If we become aware of any security breach affecting your data, we'll notify you and the relevant Thai authorities as required by law.
How Long We Keep Your Information
We retain your information for different periods depending on the type:
Active Client Data
While we're actively working with you, we keep all relevant information accessible to provide good service.
Past Client Records
After a project concludes, we typically retain basic records for three years. This helps us reference past work if you return, and allows us to maintain business records for accounting and legal purposes.
General Inquiries
If you contact us but don't proceed with our services, we'll keep your inquiry information for one year in case you decide to work with us later. After that, we delete it.
Legal Requirements
Some records must be kept longer for tax purposes or other legal obligations under Thai law. We'll retain only what's legally required and delete everything else according to the schedules above.
You can request earlier deletion of your information by contacting us, subject to any legal obligations we have to retain certain records.
International Data Transfers
Your information is primarily stored and processed in Thailand. In some cases, data might be accessed by service providers located outside Thailand (for example, if we use cloud services with international servers).
When this happens, we ensure these transfers comply with the PDPA and that your information receives adequate protection equivalent to what's required under Thai law. This typically involves contractual agreements with service providers that obligate them to maintain appropriate security standards.
If you have concerns about international transfers of your data, contact us and we can provide more specific information about where your data is stored and what safeguards are in place.
Cookies and Website Tracking
Our website uses minimal tracking technology. We collect basic analytics to understand which pages people visit and how they found us. This helps us improve the website and understand what information is most useful.
We don't use advertising cookies or track you across other websites. The data we collect through our website is aggregated and doesn't identify you personally unless you choose to fill out a contact form or send us an email.
You can disable cookies in your browser settings if you prefer, though this may affect how some parts of the website function.
Children's Privacy
Our services are designed for businesses and event organizers – not for children. We don't knowingly collect information from anyone under 20 years of age (the age of majority in Thailand). If we discover we've unintentionally collected such information, we'll delete it promptly.
Changes to This Privacy Policy
We may update this policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify active clients by email and update the "Last Updated" date at the top of this page.
We encourage you to review this policy periodically, especially before sharing new information with us. Continued use of our services after changes indicates your acceptance of the updated policy.
Complaints and Concerns
If you're not satisfied with how we've handled your personal information, please let us know. We take privacy concerns seriously and will work to resolve any issues.
You also have the right to lodge a complaint with Thailand's Personal Data Protection Committee if you believe we've violated the PDPA. However, we'd appreciate the opportunity to address your concerns directly first.
Questions About Your Privacy?
If anything in this policy is unclear, or if you have specific questions about how we handle your information, we're here to help.
